Executive Assistant
(Full Time Position)
Fisher River Cree Nation is seeking a highly organized and efficient Executive Assistant. The Executive Assistant will perform a variety of administrative tasks, to work under the direction of the Chief and in collaboration with Council. The successful incumbent will provide a wide range of administrative functions by implementing the following key activities;
KEY ACTIVITIES:
- Handle a wide range of administrative and executive level support tasks;
- Develop and maintain an internal easy access reference system for correspondence, work plans, resolutions and band motions;
- Record, transcribe and summarize minutes of meetings as directed;
- Prepare and develop meeting agendas and coordinate information packages and/or presentations;
- Manage and direct the flow of information and meeting requests, including fielding inquiries on behalf of Chief and Council and band members;
- Maintain a travel itinerary for Chief and Council;
- Make travel arrangements for Chief and Council, Elders and others as required;
- Arrange regular scheduled Council meetings and band meetings and ensure proper notification is processed, including booking space and distribution of minutes;
- Accompany the Chief and Council to meetings and record all decisions and undertakings for follow up;
- Provide administrative support to special projects, conferences, workshops, referendums, elections and other directly related activities of the Fisher River Cree Nation;
- Maintain the flexibility to meet the demands of work on occasion when they are beyond regular established work hours;
- Prepare monthly activity reports for the Chief and Council on the status of projects;
- Act as a liaison on behalf of Chief and Council with staff, entities, legal services, consultants/contractors, First Nations political organizations, federal and provincial government officials and other departments as required;
- Secure meetings with federal and provincial government officials, regional and national political organizations, consultants/contractors, etc.; and
- Must adhere to FRCN Policies & Procedures, including the Illegal Drug By-law, etc;
- Other duties as assigned.
QUALIFICATIONS:
- Administrative Assistant Certificate from a recognized college or technical institute or a combination of two year’s related experience and/or education and training;
- Must be able to work well under pressure and meet deadlines;
- Excellent written, communication and organizational skills;
- Ability to work independently and/or in a team environment;
- Accurate typing speed;
- Knowledge of general office procedures, practices and office equipment operations;
- Demonstrated computer knowledge capabilities;
- Knowledge of First Nation culture and history;
- Must be able to work flexible hours and travel upon request.
